Best free CRM for freelancers, and the limit on each free plan

Six CRMs with a free plan, the exact limit on each, and how far each gets through the test client before it stops. None of the free plans can send a proposal, collect a signature and take the deposit.

Short answer

HubSpot Free gets furthest through a freelancer's job: an inquiry form, one booking link and Stripe invoices, for 2 users and 1,000 contacts. Zoho CRM Free and Freshsales Free allow 3 users, and Capsule Free allows 2 users and 250 contacts. None of the six free plans lists a proposal with e-signature, so the cheapest plan that covers the whole job is a paid one: Moxie Starter at $10 a month, billed yearly.

These are the vendors’ own feature lists, before any hands-on run. “Not listed” means the pages read don’t settle it either way.

When free stops being free

The free plan is worth starting on if the CRM’s job is a contact list and a pipeline, and proposals, contracts and invoices go out from somewhere else. Count what that somewhere else costs. A separate e-signature tool and a separate invoicing tool can cost more than a client-work CRM that does all eight steps in one place. The pricing tracker has those prices at 1, 3 and 5 seats.

On the vendors’ own pages, HubSpot Free gets furthest for a freelancer: a form, a booking link and Stripe invoices for 2 users and 1,000 contacts. Move to a paid client-work plan when proposals, signatures and deposits are part of every job. The cheapest plan in the tracker with all four parts in one plan is Moxie Starter, at $10/mo read 2026-10-28 billed yearly.
